What is a timesheet?


Timesheet is Pontotel's activity and project management module. It integrates with our time and attendance platform, creating an intelligent bridge between the Legal Workday (clocking in and out) and Actual Productivity ( allocation of hours to specific tasks).


While clocking in and out focuses on attendance and legal requirements, a timesheet focuses on strategy . With it, it's possible to:

  • Plan the allocation of the team across different clients and projects.
  • Compare the planned versus the actual results , ensuring that the time invested is aligned with the priorities.
  • Calculate the real costs of projects by comparing the employee's hourly rate (based on payroll) with the time spent on each activity (Capex/Opex).

Access and first steps: understanding the logic


To get the most out of Timesheet, we need to align how the tool organizes information. Unlike a simple to-do list, the system cross-references who is doing the work, where the effort is being applied, and what is being done.


How to access


Flexibility is part of our culture. Therefore, you can access the Timesheet in two ways, depending on your schedule:

  • Via Web (Computer): Ideal for planning or analyzing more complex reports. Simply access the address: aloque.pontotel.com.br .
  • Via Mobile App: Perfect for the hustle and bustle of everyday life. Directly in the Management app , you can record activities as soon as they happen, ensuring that no information is lost. Download the app from the link corresponding to your device:


The Timesheet Structure: Professional, Project, and Activity

For the system to generate intelligence about productivity, each transaction needs to answer three basic questions. Let's understand the concept of each piece of this mechanism:


1. The Professional (Who?)

This is the starting point. In the system, the professional is the employee who will perform the activity. The timesheet is individual and non-transferable, as it is directly linked to their time record.



2. The Project (Where?)

This is the macro context of the work. The project represents the larger objective or cost center where your hours will be allocated. A project can be a specific event, a long-term contract, or a department.

  • Educational Example: 2025 University Entrance Exam Campaign or Class 03 - Medicine



3. The Activity (What?)

This refers to the specific action, the "hands-on" task performed within the project. It's here that we detail the nature of the work. This is crucial for differentiating between execution, planning, and bureaucratic phases.

  • Educational Example: Test Correction , Integration Practice , or Anatomy Class .



Practical example


To better visualize this, imagine the daily routine of a (professional) teacher :


Scenario A:

  • Project: High School - 3rd Year
  • Activity: Teaching a History Lesson


Scenario B:

  • Project: Annual Science Fair
  • Activity: Alignment Meeting


By correctly categorizing the time, the system can, at the end of the month, tell not only that the teacher worked 40 hours, but that 30 hours were in the classroom (core activity) and 10 hours were on extracurricular projects.


Monitoring and launching of activities


The Allocation Calendar is your control panel. But to master it, you need to understand the tool's core dynamics: the difference between what was on the agenda and what actually happened.


Planned vs. Actual


In Timesheet, we work with two verb tenses:

  1. The Planned (Agenda): This is your forecast. In an educational context, it includes classes scheduled, meetings set, or time reserved for grading tests. On the calendar, these activities appear as scheduled appointments, awaiting confirmation.
  2. The Actual (Execution): This is what actually happened. This is where the system crosses over with your recorded attendance. If the class scheduled to end at 10:00 AM extended until 10:15 AM, this information is recorded in the "Actual" section.


Why does this matter? The clash between these two worlds generates the Adherence indicator. If you plan 100% of the time and execute something completely different, the system points out this divergence to help with future management.


How to schedule an activity (Planning)


  • In the web calendar, click the arrow next to the "launch activities" button. Then select "launch planned activities"



  • Fill in the activity , the professional who will perform it, the start date , the start time , the duration of the activity, whether it is repeated (and on which days), the end date of the activity, and in which project the activity will be allocated.

⚠️ Attention: The activity, professional, and project must be previously registered in the corresponding sections of the top menu.


  • The block appears on the calendar with the status "Planned" (block without color). It does not yet count as working hours, only as a time reserve.


How to launch an activity (already completed)


  • In the web calendar, click the "launch activities" button.



  • Please fill in the activity , the professional who performed it, the start date and time , the end date and time of the activity, whether any resources were used and in what quantity, and which project the activity belongs to.


Example of completion


  • The block appears on the calendar with the status "Completed without Planning" (red block). It counts as working hours.

View planned activities


In the management app, it's possible to access a personal calendar of planned and completed activities. When logging in with a user who logs activities (i.e., has a related professional), the user will see a carousel on the home screen with the views "yesterday," "today," and "tomorrow":


  • Yesterday: Lists all activities performed the previous day.




  • Today : Lists all activities planned or completed today.
    • The current activity is at the top of the list
    • The planned activities are listed below, from the earliest activity at the top to the latest activity at the bottom. Planned activities can be standalone or sequential. If it is a sequence, it will be indicated as "X modules" at the top of the activity card.
    • The day's activities are listed below, in a separate "completed activities" list, and show any incidents, if any. In the completed activities list, you can also click to see more information about the activity and/or add a justification.




  • Tomorrow : List all activities planned for tomorrow.




Record planned activity


To start a planned activity, simply click on the "play symbol" to the right of the planned activity card: 



The activity will change to "in progress" status and display a progress bar to track its evolution.

To register the end of the activity, simply click on the "stop symbol" on the right or on "end activity," the red button above: 




The completed activity will be moved to the list at the bottom of the app, and if it was carried out differently than planned (shorter, longer, or unplanned), the system will flag an error.



Information regarding an activity carried out without justification


You can see more information about the activity by clicking on it. On the details page, you will be able to view:

  • Type of activity and project
  • Start date and time
  • Planned or standard duration
  • Duration performed
  • Occurrence (if any)
  • Justification (if any)


You can also enter or change the justification for the activity by clicking on the pencil next to "no justification":



Strategic Management: where data becomes decision-making


If completing tasks is the "heart" of the system, the Statistics is the "brain." It's here that managers, directors, and coordinators can move beyond guesswork and understand, with real data, how the organization invests its most valuable asset: time.

By accessing the statistics section, you can check the number of planned and completed hours consolidated per day. You can also select which projects you want to view the data for, in the upper right corner of the screen.
