How to generate the user report
Managing user permissions and access is a vital task for HR. To facilitate this audit, Pontotel allows the generation of a complete spreadsheet with all the data of registered users, their access levels, and security status.

How to generate the report
- In the navigation menu of the Management website, open the Admin and click on the Users.
- In the upper right corner of the screen, click the "User Spreadsheet" button.

- The system will generate an Excel (.xlsx) file containing all users in the database.
Understanding the columns in the spreadsheet
When you open the file, you will find several columns detailing the settings for each account. Here's what each one means:
Column | Description |
NAME | Full name of the registered user. |
Email used for login and receiving communications. | |
PERMISSION | Define the access level (e.g., HR, Manager, Employee). |
ACTIVE | Indicates whether the user has access granted (Yes) or blocked (No). |
WORKPLACES | Which units or locations is this user allowed to view?. |
ACCESS TO | Visibility filters (e.g., "All" or specific groups). |
CPF | User identification document. |
ASSOCIATE EMPLOYEE | Shows which employee record is linked to this user. |
CODE | The user's unique identifier or PIN in the system. |
DIRECT LEADER | Indicates who is the immediate supervisor associated with this profile. |
TELEPHONE | Contact number registered. |
ACTIVATE MFA | Indicates whether Two-Factor Authentication (Extra Security) is enabled. |
PERSONAL PERMISSION | This field is specifically for companies that use the Dual Profile module . It is for users who have managerial roles and use the same user account for time and attendance tracking. |

- Access Audit: Use this spreadsheet periodically to check if former employees are still listed as "Active" and deactivate them in the user menu if necessary.
- Security (MFA): Keep an eye on the MFA column. We recommend that users with HR and Administrator always have this option enabled to ensure the protection of company data. To enable it, access the advanced settings during user editing.
