I05 - How to create or update employers in bulk
We know that registering employers can be a time-consuming task, especially when you have many to add. With that in mind, we've prepared this tutorial to teach you how to use our batch file import tool, streamlining the process and ensuring everything is registered quickly and efficiently. This way, you avoid the work of filling out each file individually and can focus on what really matters: managing your teams!
How to download the template spreadsheet
- In the side menu of the Management website, click on Management . Then select Reports and Records .

- In the "importers" list, select option I05 - File Importers.
- Fill in the importer filters
- In "import type", select the Employers option.

- Below, select the desired file extension to download the template spreadsheet for filling in the information.

How to fill out the template spreadsheet
The spreadsheet will have two navigation tabs: Creation and Update . Data should be added starting from row 4 of the spreadsheet.
To register

- To create new employer registrations, use the "Creation" tab in the spreadsheet. In this tab, enter the information for the companies that need to be included in the system. Fill in all the necessary fields, ensuring that the information is correct so that the registration is successful.
- Company Name: This is the column for the company's official name, as it is registered with government agencies. This is a required field, so make sure the name is correct.
- Trade Name: Here you can add the name by which the company is publicly known. This is an optional field, so if the trade name is the same as the company name, you can leave it blank or repeat it, as you prefer.
- Identification Number: In this required field, you must enter the employer's CNPJ, CPF, or CEI number, containing only numbers.
- CNO/CAEPF: This is an optional field and should only be completed if the employer is Brazilian.
- Code: The external identification code is an optional field that can be used to integrate Pontotel with other systems.
- Jurisdiction: Here you specify the jurisdiction in which the employer is registered, according to the ISO 3166-1 alpha2 standard. By default, it will be "BR" (Brazil). This is also an optional field.
- URL with Logo: If you want to customize the time sheet with your company logo, you can insert the image URL here. This field is optional, but it gives the time sheet your company's look! You can also attach an image from your computer by editing the existing registration on the Management website.
- After filling out the spreadsheet according to the defined objective, save the file. If you are using Excel, click on "File", then "Save", or press CTRL + S.
To update

- If you want to update an existing record, use the "Update" tab in the spreadsheet. In this tab, enter the information for the companies that need to be adjusted in the system.
- Identification Number : This is a mandatory and essential field for identifying which employer you wish to update. It must be filled with the employer's CNPJ, CPF, or CEI number, containing only numbers.
- CNO/CAEPF : This field is optional and should only be filled in if the employer is Brazilian. You can use it to modify this information. If you leave the field blank, the field on the platform will remain as registered.
- Company Name : Here you can fill in the official company name as it appears in the Government Registry. This field must be completed to identify the company and cannot be modified via spreadsheet import.
- Trade Name : Use this field to modify the public name by which the company is known.
- Code : Fill in this column to modify the external employer identification code.
- URL with Logo : If you need to update the employer logo image, simply fill in this field with the URL of the new logo.
- Hide (Y/N) : To hide the record in the system, fill this column with "Y" (Yes). If you do not wish to hide the record, leave it blank or fill it with "N".
- After filling out the spreadsheet according to the defined objective, save the file. If you are using Excel, click on "File", then "Save", or press CTRL + S.
How to upload the completed spreadsheet
- Return to the Management website , in the same location instructed in item 1, and select option I05 - File Importers again. Click the " attach " button, and select the file on your computer with the information you filled in.

- Finish by clicking import.

- Please wait for the spreadsheet import process to finish.

- Once the process is complete, a report will be generated with import feedback. Ensure that the user has been created, updated, or deactivated.
