I05 - How to post vacation balances in bulk
The I05 importer allows you to register or update vacation balances for multiple employees at once, without having to access each registration individually on the platform. To do this, simply fill out the template spreadsheet with each employee's information and upload it to the system.
How to access the importer and download the template spreadsheet
- In the navigation menu of the Management website, select the Reports and Records.
- In the "importers" list, select option I05 - File Importers.
- Fill in the importer filters
- Under "import type", select the Vacation Balance option.

- Below, select the desired file extension to download the template spreadsheet for filling in the information.

Understanding the template spreadsheet

The spreadsheet has a tab called Vacation Balance, with four columns:
Column | Mandatory | Description |
|---|---|---|
PIN employed | Mandatory | Employee time and attendance PIN, used for identification in the system. It can be found in the employee's record. |
Day and month of commencement of the acquisition period (dd/mm) | Mandatory | Start date of the acquisition period related to the balance being posted. |
Current balance for the concession period | Mandatory | Remaining vacation days within the current concession period. |
Current acquisition period balance | Optional | Remaining vacation days from the current acquisition period (granting period not yet started). If left blank, the system automatically calculates the proportional value for the days elapsed since the beginning of the acquisition period. |
How to upload the completed spreadsheet
- Return to the Management website, in the same location instructed in item 1, and select option **I05 - File Importers** again. Click the "attach" button, and select the file on your computer with the information you filled in.

- Finish by clicking import.

- Please wait for the spreadsheet import process to finish.
- Once the process is complete, a report will be generated with import feedback. Ensure that the user has been created, updated, or deactivated.
