I05 - How to create, update, or deactivate users in bulk
Manually registering or updating multiple users can be a time-consuming process. To simplify this task, Pontotel offers the I05 - File Importers , which allows for the creation and bulk updating of employee and user records quickly and efficiently. In this article, we will explain how to use this tool to optimize your import process.
How to download the template spreadsheet
- In the side menu of the Management website, click on Management . Then select Reports and Records .

- In the "importers" list, select option I05 - File Importers.
- Fill in the importer filters
- In "import type", select the Users option.

- Below, select the desired file extension to download the template spreadsheet for filling in the information.

- Fill in the fields on the template spreadsheet.
- The spreadsheet has three navigation tabs: Register , Update , and Deactivate . Select the tab corresponding to the action you wish to perform.

- In the first row of each spreadsheet, it will be indicated whether the column corresponds to a required or optional . All required columns must be properly filled in. Otherwise, the import will not be performed.
- The second line of the spreadsheet contains a detailed description with instructions on how the field should be filled in.

How to fill out the "Register" tab
To create new users, use the "Register" tab in the spreadsheet. In this tab, enter the access information for employees who need to access the platform. Fill in all the necessary fields, ensuring that the information is correct so that the registration is successful.
- Columns A , B , and D required fields . Without the information in the cells of these columns, the registration will not be created.

- Column A | Name: Enter the full name (or first and last name) of the employee who will use the username.
- Column B | Email: Enter the user's email address that will be used to log in to the platform. This can be a real email address so the employee receives notifications and can recover their password, or a fictitious email address if there is no need for direct communication.
- Column D | Permissions: Define the level of access the user will have within the system by selecting one of the previously registered permissions. Initially, you will have the following permissions available: HR , Employee , Manager , and Supervisor . Learn more about permissions in this article .
- Columns C , E , F , and G are optional fields, but they provide valuable clues for correctly entering data, especially regarding manager permissions (who only have access to one or more workstations, but not all). It is worth noting that, although optional, some fields may become mandatory depending on the user's permissions within the system.

- Columns H through N are also optional fields, but some points are important to mention:

- The PIN (column H) must be filled in if the employee already has an employee record in the system.
- Although not mandatory, we recommend filling in the CPF (column I), especially if the user already has an employee registration or will be performing management functions on the platform.
How to fill out the "Update" tab
To update user records in batch, use the "Update" tab in the spreadsheet. Enter the data for the employees whose information needs to be modified there.
- Column B is a required field. Without the information in the corresponding cell, the registration update will not occur.

- The remaining columns are optional. If filled in, the new information will replace the existing data in the registration. Be sure to follow the same instructions presented in the "To register" section.
How to fill in the "Deactivate" tab
To disable users in bulk, use the "Disable" tab in the spreadsheet. This will disable the specified users, who will no longer have access to the system.
- In the only required field (column A), enter the email address of the user you wish to deactivate. Ensure that the information is exactly as recorded in the system, including periods and other characters. Any discrepancy may result in failure to import the corresponding row.

How to upload the completed spreadsheet
- After filling out the spreadsheet according to the defined objective, save the file. If you are using Excel, click on "File", then "Save", or press CTRL + S.
- Return to the Management website , in the same location instructed in item 1, and select option I05 - File Importers again. Click the " attach " button, and select the file on your computer with the information you filled in.

- Finish by clicking import.

- Please wait for the spreadsheet import process to finish.

- Once the process is complete, a report will be generated with import feedback. Ensure that the user has been created, updated, or deactivated.
