Throughout this journey, you will go through different stages involving learning, practical application, and configuration, always with direct support from our implementation team.

The goal is that, by the end of the process, your company will be fully prepared to use all the platform's features safely, efficiently, and autonomously.

During the Onboarding Training (step 2) , you will go through this entire deployment journey. It is essential to follow each indicated step, as they have been structured to ensure that your account setup is complete and fully aligned with how the platform works.

Next, you can learn about each stage of this journey and understand what will be accomplished in each one.


1. Initial Alignments


  • The process begins with contact from the implementation consultant , who will be responsible for monitoring the entire journey and providing guidance at each step.
  • At this stage, deadlines, schedules, and the responsibilities of each party are defined.
  • This is where the first user is enabled to access the platform .


💡 Tip: Maintain active communication with the consultant and ensure that the requested data is sent on time. This speeds up the implementation process.



2. Training at Pontotel University


  • The next step is to access our learning platform and complete the Onboarding Training .
  • The link to the training will be sent by your implementation consultant. If you haven't received it yet, contact them and request access. Once you access the link, you will be automatically enrolled and can begin the training.
  • Pontotel offers comprehensive training for managers , administrators, and HR professionals , showcasing the platform's main functionalities, as well as exclusive materials for employees to facilitate daily system use. To access these resources, simply request the training or materials directly from your implementation consultant.

3. Initial Registrations


  • In this step, the initial registrations are carried out in the system. This information will form the database that will store all the records and settings of your company.
  • Initial registration involves creating:
    • Employer : This is the registration of the company or unit responsible for managing employees. It gathers the legal and administrative information that will be used in reports and timesheets.
    • Workplace : Defines where employees work. It can represent branches, departments, or specific addresses, facilitating the control of working hours and reports by location.
    • Work Schedule : Establishes the expected working hours for employees, including start and end times and breaks. It is the basis for the correct calculation of lateness, overtime, and banked hours.
    • Schedule : Determines the distribution of work hours throughout the days of the week, organizing days off, shifts, and different work schedules.
    • Employee : Individual registration of each employee, with personal, contractual, and functional information. The system uses this registration to recognize and process time and attendance records.
    • User : Defines who will have access to the system and what permissions each person will have, ensuring security and control over operations.


💡 Tip: During the training at Pontotel University, there will be practical classes where you will be guided through creating the accounts mentioned above. We recommend following them in the order suggested, to consolidate what you learned in the theoretical classes and to start your first accounts on the platform.



4. Rule Parameterization


  • After completing the registration section of the training, you will be directed to the lessons on the system rules. After watching the videos on calculation rules and time bank rules , open the file available below and fill in the requested information.
  • When you're finished, notify your implementation consultant so we can begin configuring your first rules on the platform.



5. Time Record


  • In this step, you will learn what time clocks , which are the best platforms for time tracking in your company, how to configure the device correctly, and how employees should register their time.
  • By the end of this stage, the first points will already be recorded in the system.



6. Releases



💡 Tip: During the training at Pontotel University, you will also find practical lessons that will show you how to create the entries listed above, just as you did in the initial registration phase. We suggest following the indicated sequence, as this will help solidify the content learned in the theoretical lessons and put your first entries into practice on the platform.



7. Payroll Management


  • Here you will learn what time entries are and how to view and adjust your timesheet, both on the website and through the Pontotel Gestão app.
  • In addition, you will see how to use the " Check Sheets " tool, which allows you to perform mass checks and adjustments in a practical and efficient way.
  • By the end of this step, you will be able to ensure that all of your team's time and attendance information is accurate and up-to-date.



8. Closing the Sheet


  • In this step, we will perform the first closing of the timesheets .
  • You will learn how to use the " Check Sheets " tool to identify and correct inconsistencies in a practical way.
  • We will also cover the concept of sheet locking and how to apply it correctly.
  • Finally, we will present the most suitable **reports** to complement and verify the closing, ensuring that all information is correct and organized.



9. Reports


  • In this step, we will explore the use of reports in Pontotel Gestão, which are essential for monitoring, analyzing, and making strategic decisions about employee time and attendance management.
  • You will learn how to generate different types of reports, understand the information each one presents, and how to use them to identify patterns, inconsistencies, or opportunities for improvement.
  • Furthermore, we will see how to customize reports according to your company's needs, ensuring you have quick access to the most relevant information.

10. Time Bank



💡 Tip: Even if your company doesn't yet use a time bank system, we recommend following this stage of the training. This way, you'll understand how it works and can consider implementing it in the future.



11. Advanced tools


  • Finally, we will show some advanced tools available on the platform, such as:
    • Bulk Changes : Allows you to quickly correct or adjust time records, entries, work schedules, and time banks, ensuring that the timesheet information is accurate.
    • Shift Planning : A tool that assists in planning and organizing employee work schedules. It allows you to track and adjust schedules, ensuring that each shift or function is covered, optimizing operations and avoiding scheduling conflicts.
    • Monitoring Dashboard : Allows you to quickly view the main events and indicators of the employee journey, assisting in day-to-day management and decision-making.
    • Requests : A feature that allows employees to request authorization or submit various types of events, such as overtime, vacations, leaves of absence, timecard corrections, and more. The manager monitors, approves, or rejects these requests, promoting transparency and organization.
    • Notifications : An automated alert system for employees and managers regarding important workday events, such as lateness, clock-in/out, breaks, or overtime limits. It helps maintain punctuality and work organization.
