R06 - How to generate a customizable timesheet (advanced filters)

The R06 - Customizable Time Tracking Spreadsheet is the ideal tool for management by exception . Unlike the R05, which shows the totals of all time entries, the R06 allows you to create a search rule to find only the desired information that meets a specific criterion.


How to Configure and Generate the Report


  1. In the main menu, go to Management and click on Reports and Records .



  1. In the list on the right, select R06 - Customizable timesheet .


  1. Configure the basic filters.



  • Define the basic filters by selecting the desired locations, employers, employees, or groups.


  • Define the period by entering the start and end dates in the corresponding fields.


  • Configure the remaining options:
    • Send report results by email: Check this option to receive the report by email after it has been generated.
    • Consider hours that are in the time bank: Includes in the report the values ​​that have been converted to the time bank.
    • Consider terminated employees: Includes in the report employees who were terminated before or during the selected period.
    • Sort by:
      • Name : Sorts data alphabetically by employee names.
      • Metrics : Groups and sorts the data based on quantitative indicators.
    • Report type:
      • Sum : Shows the cumulative totals of entries within the filtered period.
      • By day : Displays the data day by day, detailing the entries by day within the filtered period.
    • Presentation:
      • Decimal : Displays the values ​​in decimal format.
      • Hour and Minute : Displays values ​​in the standard time format (HH:MM).
    • Show:
      • Registered workplace : Displays the data for the workplace selected in the employee's record.
      • Job location : Displays the data for the workplace where the employee performed their activities.
    • Abbreviated entries in the calculation rule: Select the calculation rule whose name will be displayed in the filters and report. Each calculation rule has its own way of naming entries (Within the calculation rule, in Entries > Name entries ).


  1.  Customize the advanced filters.



4.1. Selecting the desired filter

Choose one or more types of time entries, such as night shift pay, overtime, or lateness. Simply check the box corresponding to the option you wish to apply; for example, select "Overtime" to filter overtime hours.


4.2. Definition of the comparison criterion

  • After selecting the appointment, adjust the condition using the operators:
    • Greater than (>): Displays only records that exceed the specified value. Example: Filter employees with more than 2 hours of overtime (enter 02:00).
    • Equal to (=): Shows only the records that exactly match the specified value. Example: View delays exactly 10 minutes (enter 00:10).
    • Less than (<): Filters records below the specified value. Example: Identify employees with a meal break interval of less than 1 hour (enter 01:00).
    • Interval : Filters work shifts within the defined start and end times.


4.3. Additional options

Enable additional options that can further refine the report, such as:

  • No breaks: Excludes pause periods from the calculation of appointments.
  • No night shift differential: Removes the impact of the night shift differential, should it be necessary to focus solely on other types of tasks.


  1. Click on Generate Excel to start generating the report.


⚠️ Note regarding Meal Breaks and Break Duration


The system does not fail to record any events on working days.

When an employee correctly takes their break (without performing any activities during that period), the system understands that no hours were worked during the break and, therefore, the Meal Break receives the value 00:00 .


It is important to highlight that:

  • Meal Break represents the time worked during the meal break .
  • Break Duration indicates the total time of the break taken by the employee.


How to Download the Report


After clicking "generate excel," the platform will process the report in the background.


  1. Click the bell icon (Notifications) in the bottom left corner of your screen to follow the file being generated.



  1. When the status changes to "100%", your report will appear in the completed reports .



  1. R06 is downloaded as a compressed (ZIP) file. When you extract the file, you will see three spreadsheets:
  • r06-success: The main report with all the data.
  • r06-status: A technical file about the generation status.
  • r06-error: Lists possible errors in the generation process.


  1. Open the r06-success to begin your analysis.


How to read the report


The generated spreadsheet will only show the rows that followed your rule. With the new update, the reading is more complete:

Employee Identification

Name , Taxpayer Identification Number (CPF), Social Security Number (PIS), Job Title.

Use the Job Title to identify if a specific problem (e.g., excessive overtime) is concentrated in a specific job function within the company.

Organizational Structure

Workplace , Employer.

Use this to filter and analyze data by branch or group company.

Notes

Appointment (the value that activated the filter)

The column of a note shows the exact value of the filtered event (e.g., "01:48" delay), making it easier to identify the severity of the occurrence.

  • In addition to the main spreadsheet, we also have the "Summary by Location" tab, which provides a consolidated value of the entries filtered by workplace location.
