R17 - How to generate the Employee Absence and Vacation Spreadsheet

The R17 report - Absence and Vacation Spreadsheet is an management . It generates a detailed spreadsheet with information on all scheduled employee absences, including leaves of absence, sick leave, and vacation periods.


This report is essential for your planning and for verifying payroll data.


How to generate the report


  1. In the navigation menu of the Management website, select the Reports and Records.


  1. In the Reports list (on the right), select option R17 - Absence and Vacation Spreadsheet.


  1. Define the filters for your query:
  • Main filter: You can filter by workplaces, employers, employees , or groups.
  • Period: Select the date range (start and end) you wish to view. It is crucial that this period covers the start and end dates of the absences/vacations you want to see.


💡 Tip: If you want to receive the report by email as soon as it is generated, check the "Send report results by email" option.


  1. Click on Generate Excel.



How to download the generated report


After clicking "Generate Excel," the platform will process the report in the background.


  1. In the navigation menu, click the bell icon (Notifications) to track the file being generated.


  1. When it reaches "100%", the report will be downloaded automatically.


  1. If the download did not start automatically, click the cloud (download) icon next to the report name to download the file to your computer.


  1. The file will be downloaded as a compressed (ZIP) archive containing three internal spreadsheets:
  • r17-success: The main report with all absence and vacation data.
  • r17-status: An import status spreadsheet
  • 17-error: A spreadsheet listing any errors that occurred during data generation.


  1. Open the compressed file and locate the r17-success for your review.

The R17 spreadsheet is divided into two main tabs, making absence management easier:

What does the information represent?

Audit Tips (Your Management)

Vacation Spreadsheet

TYPE (Vacation), START and END, DAYS.

Scheduled vacation periods (enjoyment) for employees.

Planning: Check the DAYS column to confirm that the vacation duration is correct.

Absences Spreadsheet

TYPE (Default motif chosen), START and END.

Periods of legal absences, such as leaves of absence due to disability benefits from the INSS (Brazilian National Social Security Institute), maternity leave, or unpaid leave.

Indefinite Absences: Pay attention to the END, which may indicate an "indefinite" status.

Both tabs

Employee, Registration Number, Workplace.

Employee identification data and their affiliation with the company.

Conference: Verify that the information provided has been assigned to the correct employee.
