R19 - How to generate the Disciplinary History Spreadsheet (Exemptions, Suspensions and Observations)
The R19 report - Disciplinary History Spreadsheet is a management that generates a consolidated view of all absence and disciplinary events recorded on employees' timesheets, such as sick leave (medical certificates), suspensions , and observations .
This report is crucial for internal conferences, standards analysis, and document auditing.
How to generate the report
- In the main menu, go to Management and click on Reports and Records .

- In the Reports list (on the right), select option R19 - Disciplinary History Spreadsheet .
- Define the filters for your query:
- Main filter: You can filter by workplaces , employers , employees , or groups .
- Period: Select the date range (start and end) you wish to view. It is essential that this period includes the dates of the events you want to see.
- If necessary, use the advanced options:
- Consider terminated employees: Includes employees who were terminated within the filtered period.
- Consider similar absences after the filtered period: Allows long absences that started in the selected period but end up to 180 days later to be included.
- Send the report results by email: You will receive a copy of the file by email.
- Click on Generate Excel .

How to download the generated report
After clicking "Generate Excel," the platform will process the report in the background.
- Click the bell icon (Notifications) in the bottom left corner of your screen to follow the file being generated.

- When the status changes to "100%", your report will appear in the completed reports .

- If the download did not start automatically, click the cloud (download) icon next to the report name to download the file to your computer.
- The file will be downloaded as a compressed (ZIP) archive containing three internal spreadsheets:
- r19-success: The main report with all the data.
- r19-status: import status spreadsheet
- r19-error: A spreadsheet listing any errors that occurred during data generation.
- Open the compressed file and locate the r19-success for your review.
How to read the report

The R19 contains three main tabs, offering different levels of detail for your audit and management :

Detailed Spreadsheet | TYPE and REASON , DAY'S JOURNEY . | Lists line by line each day and type of event launched (Exemption, Suspension, etc.). Aggregated Spreadsheet | TYPE , REASON , TOTAL DAYS , HOURS DISMISSED , DOCTOR'S NAME , CRM . | It groups information from identical events (e.g., 3 days of sick leave of the same type). | Data Verification: Focus on Specialty and CRM ( to cross-reference with information from medical certificates and documents. |
Summary | Absences in days , suspensions in days , total incidents . | A consolidated and quantified view of incident days (Leave, Suspension, and Observation) per employee. | Absenteeism: people metrics and performance tracking . Use the TOTAL INCIDENTS to monitor the frequency of events per employee. |
