R21 - How to generate the Time Bank Control Spreadsheet

The R21 report - Time Bank Control Spreadsheet is the most complete tool for the management and auditing of your employees' time banks.

Unlike other reports that only show the final balance, the R21 functions like a bank statement , detailing day by day all the events (credits and debits) that affected the bank balance, as well as information about clearing windows.


How to generate the report


  1. In the main menu, go to Management and click on Reports and Records .


  1. In the Reports list (on the right), select the option R21 - Spreadsheet for time bank control .


  1. Define the filters for your query:
  • Main filter: You can filter by workplaces , employers , employees , or groups .
  • Period: Select the date range (start and end) you wish to view.


  1. Configure the extra options according to your needs:
  • Include also periods with reduced hours: Check this option if you need to audit data from bank periods that have already been closed (that have had " reduced " hours).
  • Include a tab for BH windows...: Window Compensation rule . This adds a tab to the spreadsheet showing balances that are due or have already passed .
  • Include compensation history...: Window Compensation rule , it details how hours were compensated.


  1. Click on "Generate Excel" .




How to download the report


After clicking "generate excel," the platform will process the report in the background.


  1. Click the bell icon (Notifications) in the bottom left corner of your screen to follow the file being generated.



  1. When the status changes to "100%", your report will appear in the completed reports .


  1. R21 is downloaded as a compressed (ZIP) file. When you extract the file, you will see three spreadsheets:
  • r21-success: The main report with all the data.
  • r21-status: A technical file about the generation status.
  • r21-error: Lists any potential errors in the generation process.


  1. Open the r21-success to begin your analysis.


How to read the report



The r21-success is your detailed statement. Each line represents a day for a collaborator, showing exactly what happened.

Column(s)

What does the information represent?

Audit Tips (Your Management)

Employee, Date, Location...

Employee identification and the exact date of the transaction.

Allows you to filter the analysis by a specific day or employee.

Maturity

It shows the expiration date (due date) of that specific balance, according to the bank's rules.

Use this date to ensure that compensations are made before the due date.

H. Extra, Delay, H. Absence, etc.

It details all the entries (events) that occurred during the day and which, according to your rules, should be included in the time bank.

Audit: If the employee had a "Delay" of 10:48, this is the reason for the debit at the bank.

Balance

This is the final amount (credit or debit) that was actually posted to the time bank that day. It is the result of the events.

Transparency: This is the value of the daily transaction. If the employee was 10:48 late, the "Balance" posted to the bank was "-10:48".

Approved?

Confirm whether the "Balance" transaction has been validated and recorded in the bank's records.

"Approved" means the balance has been credited. "No balance/event on the day" indicates there was no bank transaction that day. "Rejected" means it was withdrawn from the bank and appears on the statement.


R21 is the key tool for evolving your time bank audit. With it, you have complete transparency over every event that makes up your employees' final balance, facilitating the verification and management of payroll.
