R27 - How to generate the absenteeism report
The R27 report, available on the Pontotel platform, presents indicators of voluntary, involuntary, and total employee absenteeism, providing a consolidated view of absences within the company. This report is essential for HR to monitor absence patterns, analyze impacts on productivity, and support people management strategies.
Step-by-step guide to generating the R27 report.
- Access the reports menu.
- In the top menu, go to management reports and records option .

- Select the option " R27 - Absenteeism Report ".
- Configure the filters

Choose who to analyze : Use the tabs at the top to define the basis of the report: workplaces , employees , or groups . Select the desired items.
Define the period : Specify the start and end dates of the period . This interval determines when absenteeism will be calculated in the file.
Additional options (check only what you need):
- Omit employee with zero values : removes from the spreadsheet those who had no absences/occurrences during the period.
- Display terminated employees : includes those who left within the analyzed period.
- Disregard hours that have been added to the time bank : ignores entries already sent to the time bank, so as not to count them as absences.
- Omit absences, lateness, and early departures if the employee has a positive balance in the period : if the employee ends the period with a positive balance, these negative occurrences are not included in the report.
- Include "Total by Employer" tab : adds a tab to the file with average absenteeism rates by employer.
- Include "Total by Workplace" tab : adds a tab to the file with average absenteeism rates by workplace.
- Consider suspension in the report : includes suspensions in the calculation (it goes into the involuntary absences block).
- Generate the report
- Click on "generate excel" to start processing the report.
- Follow the progress in the notification center (bell icon) located in the top menu.

- When the progress reaches 100%, the report will be automatically downloaded to your computer's downloads folder. If the download does not start automatically, locate the report in the notification queue and click on the corresponding line to start a new download.
Understand the report
The report is exported in Excel format and features several columns with detailed information about each employee. See below for an explanation of each field, as well as the formulas used to arrive at the values for specific fields:
- Columns | Password, Code, Name, CPF (Brazilian Taxpayer ID), Job Title, Department, Work Location, Date of Hire : employee registration data.
- Column I | Length of service: Employee's length of service up to a reference date in the report, expressed in decimal years (two decimal places).
- Column J | Total hours planned for the period: the number of working hours expected during the period.
- Column K | Total hours of absence: number of hours of absence within the period.
- Column L | Total hours of lateness: number of hours of lateness (in relation to the expected workday) incurred by the employee within the period.
- Column M | Total early departures: number of hours of early departure (in relation to the expected workday) taken by the employee within the period .
- Column N | Total hours of unjustified absence: sum of absence time, lateness, and early departure. Formula : K + L + M
- Column O | Total hours of leave: number of absences justified by leave (partial or full day), such as medical leave.
- Column P | Total : sum of justified and unjustified absences. Formula : N + O
- Column Q | % Voluntary Absenteeism : percentage of voluntary absences in relation to the total hours scheduled for the period. Formula : (N ÷ J) × 100 .
- Column R | % Involuntary Absenteeism : percentage of justified absences in relation to the total hours scheduled for the period. Formula : (O ÷ J) × 100 .
- Column S | % Total Absenteeism : total percentage of absences (voluntary + involuntary) in relation to scheduled work hours. Formula : (P ÷ J) × 100 .
In addition to individual employee information, the report also allows you to calculate average absenteeism rates:
- By workplace : add up the absenteeism percentages of employees at the same location and divide by the number of employees.
- By employer : follow the same logic, considering all employees linked to the employer.
