How to register a workplace
Correctly registering workplaces on the Pontotel platform facilitates management in several aspects, such as: allocating holidays on payroll, setting up a virtual fence , or maintaining a more efficient organization of employee payrolls.
Workplaces don't have to be physical spaces. They can also represent teams, departments, or sectors, allowing for an organization that best suits your needs. Furthermore, this separation of workspaces also serves as a way to limit managers' and supervisors' access to specific area information, ensuring greater control and privacy in management. Use this flexibility to structure workspaces in the most convenient way for your operation.
In this article, you will find guidance on how to correctly fill out each field in the workplace registration form.
How to register a workplace:
- In the navigation menu of the Management website, click on Registrations and then select Work Locations.
- Click on Create new workplace.
- Fill in the required fields:

- Workplace name: Give the workplace a name that identifies it.
- Code: Use this field to enter a unique identifier for the location. It helps to easily organize and differentiate records, facilitating day-to-day consultation and management. It can be the same one used in payroll, or the department/sector's cost center.
- Region (Country, State, and Municipality): Define the region of the workplace here. First, select the country; then, the option to choose the state (UF) will be enabled, and finally, choose the municipality. Filling in these fields correctly is essential, as the workplace location is used to automatically allocate holidays on employees' timesheets.
- Time zone: Use this field to set the time zone for your workplace. This setting is important to ensure that time records are correctly registered according to the local time in the region. 💡Tip: The default GMT -03:00 corresponds to the option "America/Sao_Paulo", which is the official time for Brasília and used in most of Brazil. If your workplace is in a region with a different time zone, select the corresponding time zone.
- Employers: Select one or more employers that are linked to this location. It is important to ensure that the employer selected in the employee's registration is also selected in the employee's workplace, allowing for a correct association between the employee, employer, and workplace.
- Synchronize with REP-P: Selecting this option is mandatory to ensure that workplace settings are synchronized with all devices. Otherwise, employees at this workplace will not be able to clock in and out on the devices used for time and attendance recording (clocking devices).
- Description of the location in the AFD and timecard: This field should contain the name of the location that will appear in the aforementioned files, facilitating identification. By default, you can repeat the name of the workplace.
- Activate workspace: Keep this activated so that the workspace can be used in the system.
- Select the workplace location on the map: Enable to set the location address.
- Enter a location: If the above option has been activated, this field will appear. Enter a ZIP code or address. While typing, you can select the address from the list that will appear below. When you select the address, new fields will appear pre-filled. Complete the information with the house number and any additional information (if applicable). If the marker on the map is not exactly in the correct location, simply drag it to adjust the location precisely.
- Maximum distance for the virtual fence: Fill in to define a maximum distance (in meters) for the virtual fence on the site, taking precedence over the value currently defined in the collector profile.
Advanced settings
By default, you can leave these fields blank, but there are options that allow for more specific adjustments for workplaces.
- Show work location in entry tracking: Enable this to make the location visible in the system's tracking dashboards.
- Priority: Define the importance of this location by ordering its position to facilitate visualization in the system's monitoring dashboards.
- Workplace-specific calculation rules: Link a rule to the workplace if there is a calculation configuration for a specific workplace need. If no rule is selected, calculations will be based on the calculation rule linked to the employee's record.
- Accept time zone of the time clock: Enable this option if you prefer that employee time records be registered according to the time zone of the device used for clocking in, instead of the time zone of the workplace. This option is used if the time clock has a different time zone than the workplace.
- Phone: Include the phone numbers available at the workplace to keep on file.
- Add new custom field: Click this option to create new custom fields in the journey. This feature is useful for companies that need to record extra information that is not part of the platform's standard fields.
- After filling in the fields, click Save.
Done! Your new workspace has been successfully configured and is now available on the platform. With these settings adjusted, you'll ensure greater accuracy in tracking work hours and managing timesheets, making your operation more efficient and organized!
