How to register a journey
Accurately recording employee work schedules is essential for efficient management, proper time tracking, and organized timesheet management. The defined schedule serves as the basis for correlating recorded hours and calculating each employee's daily pay.
In this article, we will show you how to set up a new work schedule on the platform, creating a solid foundation for organizing shifts and managing timesheets.
There are two types of work schedules: with work and without work. Work schedules have a defined start and end time, with a set duration. Without work schedules, on the other hand, do not require the employee to be present, meaning that if the employee does not clock in, they will not be marked absent. Below, we will explain how to register each type of work schedule.
How to register a work schedule
- In the platform menu, click on Registrations and then select Journeys.
- Check if the category with the job is selected. If not, select it.

- Click on the "Create new journey" option to begin registration.

- Fill in the required fields:
- Name: Define a name for the journey. If you prefer, leave the field unchanged. When you enter the start, break, return, and end times, the name will be automatically updated based on the configured times.
- Code: Enter a code to identify and organize work schedules in the system. This code helps with consultation and management, making it easier to track work schedules on a daily basis.
- Entry: Please indicate the start time of your workday.
- Break: Please specify the start time of the meal break.
- Return: Please specify the return time from the break.
- Departure: Please indicate the end time of your workday.
- Work schedule includes break(s): If the work schedule should not include a break, disable this option.
Example: To illustrate, see the example of correctly filling in the fields for a workday from 8:00 AM to 6:00 PM, with a one-hour break:

Advanced settings
By default, you can leave these fields blank, but there are options that allow for more specific adjustments to the calculation and control of work hours.
- Payment method: Choose the applicable payment method for the workday corresponding to this schedule. For example, if the payment includes overtime worked on weekdays, select "overtime". If it is for days without a scheduled workday, such as holidays or days off, choose the "extraordinary" option, or select the "special" option if you have previously configured a different overtime percentage. If no option is selected, the time worked within the schedule will be considered as normal hours, and only the excess over the expected time will be calculated as overtime.
- Calculation rule: If instructed by a Pontotel Analyst to meet a specific need, link a rule to the work schedule. Otherwise, leave the field blank, and the system will automatically use the calculation rule defined in the employee's record.
- Legal duration: If the workday needs to be calculated with a duration different from the automatic one (defined by the start and end times), fill in this field to adjust it as required by law or specific agreements. After reaching the defined legal duration, the system will calculate the excess hours as overtime.
- Mandatory attendance schedule: Enable or disable this option as needed. If enabled, the schedule will require the employee to clock in; otherwise, the absence will be automatically recorded on the day no clocking in is registered.
- Visible to: Defines in which workplaces, groups, or user profiles this journey will be available for selection and linking. Use this option to restrict the journey only to the necessary locations or keep it as "all locations" so that it can be used in any unit, sector, or operation registered on the platform.
- Add overtime tracking limit to the workday: Enable this option to set a limit on overtime hours that can be tracked during the workday. When the configured time is reached, the system can use this parameter in tracking and notification features related to overtime, helping managers monitor excesses and act preventively.
- Save the registration
After filling in the required fields, click save.
Multiple breaks during the journey
In addition to meal breaks, Pontotel also allows you to configure multiple rest breaks within the same workday, catering to companies that need to comply with specific regulatory standards, such as NR-17, or internal policies that require additional breaks throughout the workday.
With this feature, it is possible to register as many breaks as necessary during the workday, as long as the times do not overlap. The first break registered should correspond to the meal break, while the others will be considered rest breaks.

How to register a no-work schedule
- In the platform menu, click on Registrations and then select Journeys.
- Switch to the "unemployed" category .

- Click on the "Create new journey" option to begin registration.
- Fill in the required fields:
- Name: Give the journey a name.
- Code: Enter a code to facilitate the identification and organization of work schedules in the system.
- Description: This field is optional. Use it to add a brief description, if necessary.
- Characteristic: Select the type of work schedule: normal, compensatory , or DSR (weekly rest day). If there is no specific need, leave it as "normal". This field serves to identify the work schedule characteristic in the AEJ - Electronic Work Schedule File, and will not impact the calculations of the day's time entries.
- Payment type: Define the applicable payment method if the employee clocks in on a day with this schedule.
Advanced Settings
By default, you can leave these fields blank, but there are options that allow for more specific adjustments to the calculation and control of work hours.
- Calculation rule: If there is a specific need that requires a different calculation, link a rule to the work schedule. Otherwise, leave it blank, and the system will use the calculation rule defined in the employee's record to perform the calculations.
- Visible to: Defines in which workplaces, groups, or user profiles this journey will be available for selection and linking. Use this option to restrict the journey only to the necessary locations or keep it as "all locations" so that it can be used in any unit, sector, or operation registered on the platform.
Example: To illustrate, check out the example of correctly filling in the fields for a work schedule with no scheduled work, but with the payment method defined as overtime if the employee works that day. This schedule will apply to Saturdays:

- After filling in the required fields, click Add to save the journey.
- If the employee works varying hours, it is important to register each of these schedules, that is, all the shifts they work.
- The work schedule cannot be edited, except for the name, code, and additional settings.
- If a work shift has already been assigned to a timesheet, it cannot be deleted.
- Your platform already includes a standard work schedule called "day off," with the payment type being extraordinary.
Done! Your new work schedule has been successfully registered. With these settings, you'll have more precise control over employee arrival, break, and departure times, making it easier to manage work schedules and improve the organization of timesheets. Now you're ready to ensure accurate recording of hours worked, keeping your operation even more efficient and well-organized!
