How to set up and manage facial recognition

Facial recognition is an essential security feature in the Pontotel system, ensuring greater reliability when recording employee attendance. It validates the employee's identity by comparing it to photos previously registered in the system, reducing the risk of fraud and increasing the accuracy of time records.

Step-by-step guide to enabling facial recognition


  1. Access the collector profile menu.


  • In the top menu, click on management , and then select collectors .



  • Just below the title on this screen, you can choose between two sections. Select the " Collector Profile" option.


  1. Select the corresponding category.


The next step is to select the category for which you want to enable facial recognition:

  • Device for web-based registration: Settings related to the BatePonto website , ideal for registrations made on computers or laptops.
  • Registration application: Refers to the BatePonto application , used exclusively for time and attendance registration on mobile devices.
  • Management application: Settings for the Pontotel Management application , which combines time tracking with administrative functionalities for managers.


  1. Create or edit a collector profile.


  • To edit an existing profile, select it from the list and, in the menu that opens, click the pencil icon to edit.
  • To create a new profile, click the " create new collector profile"



  1. Enable the feature


In the collector profile settings, follow the steps below:

  • Access the photo options .
  • Enable facial detection .
  • facial recognition option .
  • Define the minimum accuracy percentage to validate recognition (Pontotel's recommended standard is 99.2% ).
  • (Optional) Liveness Detection option . This setting ensures that registration is done only with real faces, preventing attempts at fraud with photos or videos.
  • (Optional) Enable the Start time tracking using facial recognition . With this, the system attempts to automatically identify the employee before they enter their PIN.
    • If the face is recognized: the employee's data will appear for confirmation.
    • If there is no recognition: the employee should enter the PIN normally.
    • If the option is disabled: the employee will enter the PIN first, and only then will the validation be done with the camera.

  1. Save the changes.


Click save or create profile to complete the setup.



  1. Use the new profile on the desired devices.


The next step is to apply the configured profile with facial recognition to the devices or data collectors that will be used.

  • Access the menu: Management > Collectors .
  • On the collector management home screen, select the corresponding category.
  • Locate the desired collector in the list of registered devices and click edit (pencil icon).
  • On the editing screen, go to the collector profiles and select the profile that has facial recognition enabled.



  • For new collective collectors, upon first access, it is possible to choose the desired collector profile. In this case, simply select the profile with facial recognition enabled.


Facial biometrics


Facial Biometrics Management is the area of ​​the system where employee photos used for facial recognition are stored, organized, and managed. Here you can view approved photos, analyze recent records, and upload new images, ensuring the system has up-to-date and reliable parameters to validate identity at the time of clocking in and out.


The facial biometrics area can be accessed in two ways:


Registration > Employee:

  • Access the registration , select employee , search for the desired employee and click on their name. In the menu that opens, click the edit . The employee's registered photos will be in the time and attendance and benefits settings section, under the facial biometrics tab at the bottom of the page.


Management > Facial Biometrics:

  • You can also access it directly through the management by clicking on facial biometrics . Simply fill in the filters to search for the desired employee(s).

What are the approved photos?


The system allows for the approval of up to 5 photos per employee for use in facial recognition. These photos serve as comparison parameters that the system will use during clocking in/out to identify the employee.


We recommend that you always keep as many approved photos as possible. The better these photos are, the more accurate the recognition will be, especially if the images show variations in lighting, angles, and the employee's appearance (such as with or without a beard, with or without glasses, etc.).


The right (and wrong) way to take photos for facial recognition.


The quality of approved photos directly influences the success of facial recognition. See below what to do and what to avoid when selecting these photos:


✅ Correct photos (ideal):


  • Framing at a right angle of 90º, with the face centered and looking straight ahead.
  • Good lighting, preferably with natural or white light.
  • No sunglasses or accessories covering the face.
  • No other people appear in the photo.
  • A clean or neutral background to avoid visual distractions.


Examples:



❌ Incorrect photos (avoid):


  • Blurry, shaky, or low-resolution photos.
  • Face cut off or out of focus.
  • Very dark environments or environments with light shining directly into your face.
  • Angle from the side, from above or from below.
  • Use of filters, sunglasses, hats or masks.
  • Photos with other people, or with people in the background.

💡Tip: The device's camera should be clean and the employee's face should be fully visible in the frame.
