How to manage working from home days (and the transportation allowance deduction)

When an employee who works in the office needs to work from home on an exceptional basis, it's important to have management of that day. This ensures that benefits such as transportation vouchers are correctly deducted, since there was no commute.

The Pontotel platform offers a specific tool for marking these days on the timesheet, facilitating the calculation of benefits and the management of reports.

If you're looking for information on how employees can clock in and out (time clock configuration) from home, please see our other article: How to set up time tracking for employees working from home.

How to add the "Home Office" event to the payroll.

To launch the event on a specific day:

  1. In the main menu, go to Payroll and click on Timesheets .

  1. Locate the employee and the day on the timesheet when they worked from home.

  1. Right-click on the day's row. In the menu that appears, select the "home office" .

  1. Done! The "home office" event will be added to that day.

💡 Tip: The option to launch the "home office" event is not enabled by default. For it to appear in the timesheet menu, you need to request activation from our team. Contact our Support team and request the "home office" functionality be enabled in the timesheet.

The impact on Transportation Vouchers (VT)

The main objective of this tool is the management of benefits.

If the employee has the transportation voucher benefit active in their profile (option "has transportation voucher?" checked in the "Time and Attendance and Benefits Settings" tab), the system understands that:

  • Day with "home office" event = Day without entitlement to Transportation Voucher.

When the "home office" event is launched, the platform automatically considers that day for the VT discount in the benefits calculation (analyzed by R18 ).

How to view data in reports

You can audit this management in two ways:

  • R18 (Benefits Report): To check the final calculation of benefits (such as transportation allowance), generate the R18. It will show the total number of days to be paid, already taking into account the discount for days marked as home office.

Done! Using the "home office" event is the easiest and transparent to manage exceptional remote work days, ensuring that the calculation of benefits (such as transportation vouchers) is done correctly and automatically.
