How to register a partial or hourly leave of absence/medical certificate
The leave request feature on the Gestão Pontotel platform has been updated and now features a new, more modern, intuitive, and step-by-step organized interface. This update simplifies and standardizes the process of registering absences, medical certificates, and other types of absences, ensuring that all necessary information is filled in completely and correctly.
See below how to launch using the new format.
How to file a partial waiver
- Access the timesheet
In the main menu, click on sheet and select timesheets .

- Apply the filters to select the employee and the corresponding payslip.
- Filter by employees.

- In the "select employees" field, search for and select the employee, then click search .

- In the upper left corner of the screen, select the period for which you want to issue the exemption.

- Open the pantry menu
- Right-click on the corresponding day's row, or click on the three blue dots to the left of the date.
- In the drop-down menu, select "dismissal".


- Fill in the exemption information.
STEP 1: EXEMPTION INFORMATION
In this first part, fill in the basic information about the exemption:
- Reason : Select the reason that describes the nature of the absence (e.g., medical certificate, excused day off, manager's leave, etc.). The reason defines which fields will be mandatory in the next steps and how the system will handle the entry in the payroll calculation.
- Date : Please specify the start date of the leave.
- Leave of absence days : indicate the total number of days the leave will cover. This field will define whether the leave of absence will be only for the date entered, or if it will be applied to the next consecutive day(s) from that date.
- Period : you can select "entire day" , "part of the day by interval" (defining start and end times) or "part of the day by duration" (specifying the duration of the leave). Since we are creating a partial leave, uncheck the "entire day" option and choose one of the other two.
- If you have supporting documentation, click on "Attach certificate" and send the file.
After filling in the information, click "Next" to proceed.

- If you choose the "part of the day by interval" option, you will need to fill in the "Start" field with the time the leave begins, and the "End" field with the time it ends. If the leave starts on one day and ends on another, extending past midnight, the "+1d" option should be selected.

- If you choose the "part of the day by duration" option, the field below must be filled in with the total duration of the leave.
- Example: If the leave was from 8:00 AM to 12:00 PM, the duration field should be filled with "04:00", as this refers to the four-hour duration of the leave.

- The reasons must be created beforehand Default Reasons screen , available in Settings > Default Reasons .
- During the configuration of each reason, it is possible to define which fields should be displayed and whether they are mandatory at the time of entry, ensuring that all necessary information is recorded correctly. If you hide all fields for a step, it will not appear when the exemption is entered.

STEP 2: MEDICAL DATA
This step will be displayed when the reason for the leave is related to medical certificates or health appointments (for this, one or more fields from this step must be selected in the reason settings).
Then click "Next".

STEP 3: CALCULATION SETTINGS
In this final step, you can adjust how the leave of absence will impact the calculation of working hours.
Define:
- Expected break duration: indicate the break time the employee is entitled to on this day, considering the time off. If the employee loses the right to the break due to the time off, leave blank. This field is used to adjust the calculation of working hours and ensure that the system correctly considers the total time off.
- Travel time: report the time the employee took to travel to the service location (e.g., to the doctor or clinic). This time is added to the leave period and may impact the calculation of working hours, depending on the leave handling rule configuration.
- Will there be a discount on DSR (weekly rest pay )?
- If the system should ignore days off ;
- Calculation method for time off: define whether the time off will be deducted from the day's working hours, considered as hours worked, or considered as an absence.
After configuring, finish by clicking "Launch".

🤖 Artificial Intelligence in the launch of the pantry
Artificial intelligence has been incorporated into the leave application process to make filling out forms faster, more accurate, and automated. By attaching the medical certificate , the AI reads and extracts the information contained in the document, such as the professional's name, CRM number, ICD code, issue date, and leave period. This data is automatically entered into the corresponding fields of the form, reducing manual errors and optimizing registration time. Even so, the final review must be carried out by the manager or HR department, ensuring that all information is correct before confirming the leave.
