How to adjust work schedules in Shift Planning
Pontotel's Shift Planning feature allows managers to make quick and easy adjustments to employee schedules, whether for specific days or short-term corrections, without having to change the schedule assigned to the employee in their profile.
With it, you can change work schedules, days off, or activities directly in the shift schedule grid, without needing to edit fixed records or create new schedules. In this article, we present a complete step-by-step guide to using Shift Planning, as well as essential tips to ensure that changes are made safely and are correctly reflected on the timesheet.
Step-by-step guide to using the Scheduling tool.
- Access the tool
In the top menu of the Management website, click on " Planning" and then select " Schedule Planning" .

- Fill in the display filters.
2.1. Workplaces: Select the desired workplace(s) of the employee(s).
2.2. Period: Select the days on the payslip you wish to view. Clicking once selects the start date. Click again to set the end date and, consequently, the period to be displayed .
2.3. Type of visualization:
2.3.1. Sum of events by location: Provides a consolidated summary with the main indicators for each workplace, such as:
- Total number of days expected and days worked;
- Expected and worked days off;
- Sundays and holidays are anticipated and worked.

This perspective helps identify scaling patterns and potential necessary adjustments.
2.3.2. Employee Schedule: Shows a complete schedule, with:
- Columns representing the days of the selected period;
- Lines with the names of the employees;
- Work schedule codes applied each day.

To change work schedules, select the "Employee Schedule" view type.
- How to change work schedules on a case-by-case basis.
- Hold down the Ctrl and click on the desired day(s). They will be filled in green. This indicates that they are selected.
- It is also possible to select multiple days by holding down the Shift and clicking the arrow keys on the keyboard in the desired direction.
- At the bottom of the screen, select the new journey from the list.
- You can change it by typing the work schedule or event code (such as "F" for day off), so that the new schedule is applied to the selected days.
- A third option is to drag the new journey from the list directly to the desired day.
- Finally, the schedule will be applied to the day and its code will appear in the grid.

If the journey is not visible in the list, click the "+" icon next to "journeys" to view all registered journeys.

Work schedules that were manually assigned and replaced the employee's scheduled work schedule are automatically applied and reflected in their timesheet.
- How to export the scales
To generate a scale report, select the "generate PDF" or "generate Excel" , depending on the desired format.
