How to submit a sick leave/medical certificate for the whole day or multiple days

The system for submitting absences on Pontotel has been updated and now features a new, more modern, intuitive interface organized by steps. This update simplifies and standardizes the process of registering absences, medical certificates, and other types of absences, ensuring that all necessary information is filled out completely and correctly.


⚠️ Attention: When submitting a leave of absence, there will be steps and fields that must be completed according to the selected reason for the leave of absence. It is important to note that some steps may not be displayed, and certain fields may or may not be mandatory. These settings are configured directly in the default reason used for the submission. To better understand how these settings work, please refer to the article: What are default reasons and how to register them.

How to open the pantry launch menu


  1. In the navigation menu of the Management website, click on Payroll, then select Timesheet.


  1. Filter by employees.



  1. In the "select employees" field, search for and select the employee, then click search.



  1. In the upper left corner of the screen, select the period for which you want to issue the exemption.



  1. Open the pantry menu:
  • Right-click on the corresponding day's row, or click on the three blue dots to the left of the date.
  • In the drop-down menu, select "dismissal".



💡 Tip: Alternatively, you can access the exemption menu through the "add justification" option, which is located in the tools menu on the right side of the sheet.



How to fill out a dispensation


At this stage, there will be sections and fields that must be completed according to the selected reason for dismissal.

It is important to note that some steps may not be displayed, and certain fields may or may not be mandatory. These settings are configured directly in the default reason used for the transaction.

STEP 1: EXEMPTION INFORMATION


In this first part, fill in the basic information about the exemption:

  • Reason: Select the reason that describes the nature of the absence (e.g., medical appointment, paid leave, manager's day off, etc.). The default reason defines which fields will be mandatory in the next steps and how the system will handle the entry in the day's calculation.
  • Date: Please specify the start date of the leave.
  • Leave of absence days: indicate the total number of days the leave will cover. This field will define whether the leave of absence will be only for the date entered, or if it will be applied to the next consecutive day(s) from that date.
  • All day: Since we are issuing a leave of absence for the entire day, please select this option.
  • If you have supporting documentation, click on "Attach certificate" and send the file.


💡 Tip: When attaching a medical certificate, click on “Fill in with AI” so that the system reads the file and automatically fills in the fields of steps 1 and 2 with the information identified in the document.


After filling in the information, click "Next" to proceed to the next step.



STEP 2: MEDICAL DATA


This step will be displayed when the reason for the absence is related to medical certificates or health check-ups (for this, one or more fields from this step must be selected in the reason settings).

  • Healthcare professional: Please provide the name of the professional responsible for the care or issuance of the document presented by the employee.
  • Professional category: Select the professional category of the person responsible for the service, such as doctor, dentist, psychologist, among others.
  • Class number: This field is used to provide the professional registration number of the person responsible for the service, such as CRM, CRO, or equivalent.
  • State: Please specify the state where the healthcare professional is registered.
  • Specialty: Select the specialty of the professional responsible for the service, as applicable.
  • Clinic: Please provide the name of the clinic, hospital, or establishment where the service was provided.
  • CNPJ: Allows you to enter the CNPJ of the clinic or institution responsible for the service.
  • ICD: This field is used to provide the International Classification of Diseases (ICD) code, if this information is present in the document and the company uses this control method.
  • Statement of attendance: Activate this option when the document presented is only a statement of attendance, without the employee being absent (for informational purposes only, does not affect the calculation of the day's time entries).
  • Leave of absence certificate: Activate this option when the presented document grants leave of absence from work or medical leave to the employee (for informational purposes only, does not affect the calculation of the day's time entries).


After filling in the information, click "Next" to proceed to the next step.



STEP 3: CALCULATION SETTINGS


At this stage, you can adjust how the leave of absence will impact the calculation of working hours.

  • Expected break duration: indicate the break time the employee is entitled to on this day, considering the time off. If the employee loses the right to the break due to the time off, leave blank. This field is used to adjust the calculation of working hours and ensure that the system correctly considers the total time off.
  • Travel time: report the time the employee took to travel to the service location (e.g., to the doctor or clinic). This time is added to the leave period and may impact the calculation of working hours, depending on the leave handling rule configuration.
  • Deduct DSR: Enable this option if you want to deduct the employee's paid weekly rest day due to this leave.
  • Ignore days off: For multi-day absences, it's possible to disregard days without scheduled work. By activating this option, days configured as days off will not be counted in the absence period, meaning that the number of days will only be considered for days with scheduled work.
  • Calculation method for time off: define how time off will affect the daily pay calculation:
    • Deducting time off from the workday: Uses the hours scheduled in the employee's workday to deduct the corresponding time off (most commonly used option).
    • Consider as hours worked: This ensures that the time off is counted as hours actually worked on that day.
    • Consider as an absence: Defines that the entered period will be treated as an absence on the employee's timesheet.


After filling in the information, click "Next" to proceed to the next step.



STEP 4: ADDITIONAL INFORMATION


If one or more customizable fields have been created in the default reason registration, these fields will appear in this step.

Fill in the fields for this step to complete.




Finalize the launch by clicking the "Launch" button.



🤖 Artificial Intelligence in the launch of the pantry


Artificial intelligence has been incorporated into the leave application process to make filling out forms faster, more accurate, and automated. By attaching the medical certificate, the AI ​​reads and extracts the information contained in the document, such as the professional's name, CRM number, ICD code, issue date, and leave period. This data is automatically entered into the corresponding fields of the form, reducing manual errors and optimizing registration time. Even so, the final review must be carried out by the manager or HR department, ensuring that all information is correct before confirming the leave.


💡 Tips:

  • It is not possible to enter more than one leave of absence on the same day. If there are two or more leaves of absence for the same day, in step 1 select the option "part of the day by duration" and enter the total sum of the durations of all leaves of absence that should be considered in the entry.


With this new structure, the process of issuing exemptions becomes more agile and accurate, in addition to reducing errors in filling out the information.
