How to manage devices/collectors

Managing time and attendance devices at Pontotel is essential to ensure that employee time and attendance records are practical, secure, and tailored to each company's needs. Time and attendance devices allow for the recording of attendance and related data, such as photo or voice capture.


With various customization options, it's possible to create collector profiles with different rules and link them to collectors, ensuring efficiency, adaptability, and security in the registration process.


What are collectors?


Time clocks are fundamental tools in the Pontotel system, used by employees to record their time and attendance. They can be divided into two main categories:


  • Individual Collectors: Used by a single employee with their own user account, providing greater privacy and control.
  • Shared Time Clocks: These allow multiple employees to clock in and out on the same device using a shared login, making them ideal for shared environments such as offices or factories.


The time clocks follow the REP-P (Electronic Time Recorder via Program) model and may include different platforms, such as the BatePonto Website, BatePonto App, and Pontotel Gestão App.


Choosing the ideal data collector depends on your team's work format (remote, field, or in-person) and the level of privacy and mobility required.


Step-by-step guide to managing data collectors.


  1.  Access the collector menu.


  • In the main menu, click on Management > Collectors .


  1.  Access the corresponding section.


  • The screen will be divided into two sections:
  • Collectors: To view and configure already registered devices.
  • Collector Profiles: To manage the settings applied to the devices.



In both sections, you will find three categories, each representing a type of collector:

  • Device for web-based registration: Settings related to the BatePonto website , ideal for registrations made on computers or laptops.
  • Registration application: Refers to the BatePonto application , used exclusively for time and attendance registration on mobile devices.
  • Management application: Settings for the Pontotel Management application , which combines time tracking with administrative functionalities for managers.

  1.  Monitor and manage collectors.



Collectors screen to monitor the registered devices. The list shows:

  • Status: approved or rejected.
  • Type: personal or collective.
  • Collector name: the name given to the device upon first access.
  • Employee: Name of the employee who created the collector or name of the location, in the case of collective collectors.
  • Version: The current version of the collector.
  • Collector code: a unique code used to identify the collector.
  • By selecting a collector, it is possible to:
  • Approve or reject the collector.
  • Edit the collector's name or profile.
  • Delete the collector.


Step-by-step guide to managing Collector Profiles


  1. Create or edit collector profiles.


Collector profiles allow you to customize the rules and settings for the devices.


To create a new profile, follow the steps below:

  • Click on "create new collector profile".
  • In "select collector type", select the category corresponding to the collector you want to configure.
  • In "profile name", define a name to identify the profile.


  1. Section: Photo options:


  • Facial Recognition: Activates the camera to capture the employee's photo at the time of registration.
  • Facial Recognition: Identifies the employee through facial analysis, ensuring additional security.
  • Start time tracking via facial recognition: enable this to start registration directly through facial recognition, replacing the use of a PIN, which will only be requested if recognition fails.
  • Liveness Detection: Verifies that the registration is being made by a real person, preventing fraud.
  • Accuracy: Defines the degree of accuracy for recognizing or detecting life, with 99.2% being the recommended standard for best performance.

  1. Section: Location Options:


  • Enable Location: Enable this so that the system saves the location where the point was registered along with the marker.
  • Enabling this option is one of the steps to restrict time tracking to a specific area near the workplace. To learn how to configure geolocation-based time tracking restrictions, see this article .
  • ⚠️ Important: Disabling location services does not prevent the clock-in/clock-out from being recorded, but it exempts the system from recording the employee's location at the time of clocking in/out.
  • Detect Manipulation: allows you to check if the location has been tampered with or falsified, such as by a VPN service, for example.



  1. Section: Governance Options :


  • Enable maximum time for identity confirmation and proof of attendance: sets a time limit for the employee to complete identity confirmation and download the proof of attendance during time tracking.
  • Login validity: Defines how long the employee's login will remain active without needing to be reconfirmed.
  • Synchronization frequency: Defines the time interval at which the application automatically synchronizes time records, photos, and other data with the system. Frequent adjustments are recommended to keep the data always up-to-date.
  • Automatic approval: When enabled, allows new devices to be approved automatically, eliminating the need for manual validation by a manager or HR.
  • Allow clocking in/out even when automatic time is disabled: Authorizes clocking in/out even when the device's automatic time is disabled, applicable only to devices connected online.
  • Allow clocking in/out with unrecognized face: Allows clocking in/out even if facial recognition does not identify the employee. In this case, a PIN will be requested as an alternative.
  • Show company name: Displays the company name on the collector interface, making it easier to identify the corporate environment during registration.
  • Allow use of rear camera: Authorizes the use of the device's rear camera for time and attendance recording, ideal for cases where the front camera is not available.
  • Keep the collective collector screen always on: Ensures that the collective device screen remains active, preventing it from turning off or entering standby mode.
  • Allow download of proof of attendance during clocking in/out: Provides the employee with the option to download proof of attendance at the time of clocking in/out.
  • Allow clocking in/out away from the workplace: Authorizes clocking in/out outside the perimeter configured in the collector profile, ignoring location restrictions.
  • Allow clocking in/out without camera permission: Enables clocking in/out even if the device does not have camera access permission, which can be useful in cases of specific restrictions.
  • Require company code to sync device: Prompts the employee to enter the company activation code to sync the data collector, adding an extra layer of security to the process.



  • Finish by clicking on create profile .


⚠️ Warning: Some of the listed options are only available for certain collector profiles. If the desired option does not appear, it means that the functionality is not available in the selected category.



  1. Link collectors to profiles.


After creating or adjusting a profile, go to the Collectors , select the desired device, and link the corresponding profile.


For new collectors, the profile can be assigned automatically upon first access.
