New features in the Bilateral Payroll System: Electronic Signature, Certificate, and Nomenclature Change

What we previously called "Bilateral Locking" is now officially called Electronic Signature. More than just a name change, this update brings extra layers of protection and legal formality to your management.


🛡️ More protection and legal validity


We know that trust is the foundation of any partnership. With this update, the R01 report (Timesheet) gains an exclusive Signature Certificate.

Now, each signed sheet includes:

  • Certified Integrity: We follow the CADES ICP-BRASIL standard, guaranteeing that the document is authentic.
  • Audit Trail: We record the user, email, IP address, and the exact date and time of each subscription.
  • Legal Compliance: Fully supported by Provisional Measure 2.200-2/2001 and Law 14.063/2020.

This change transforms bureaucratic processes into an experience of transparency and efficiency.

  1. Eliminate Paper: Reduce costs and environmental impact by digitizing 100% of the signature collection process.
  2. Security in Audits: Have a document with unquestionable legal validity on hand for inspections or labor lawsuits.
  3. Employee Experience: The term "Sign the Sheet" is much more intuitive and generates more confidence for the employee than "Lock the Sheet".
  4. Real-Time Management: Track who has already signed and who still has pending issues directly through the Management website.
  5. Full customization: the platform allows you to customize all terms related to sheet locking directly on the locking rule screen, in case you are not interested in the new nomenclature.


🔍 What changes in practice?


  • From now on, on all screens where the term "Locking" previously appeared, you will find the term "Signature". In the case of Unilateral Locking, the name remains the same.
  • In the Pontotel Gestão app, the employee will receive an invitation to "Sign their Timesheet".
  • All time clock records receive a history of electronic signatures, along with physical signature fields, if enabled.


  • If certain requirements are met, the above history can be replaced by a new page called "Signature Certificate," which will be attached to the time sheet. See below for details about this new document.


📄 Electronic Signature Certificate


When generating the R01 screen Reports and Records (Management > Reports and Records), it is possible to include an additional page in the PDF containing an Electronic Signature Certificate.

This certificate presents audit information regarding the signatures made on the timesheet, including:

  • Full name of the user who made the subscription.
  • Date and time of signing.
  • User's CPF (Brazilian tax identification number).
  • User's email address.
  • User ID on the platform.
  • Method used to complete the subscription.
  • IP address used.
  • Date and time the report was generated.



When does the certificate appear in the report?


The certificate will only be included in the report when two conditions are met:

  1. The sheet must be locked bilaterally.
  2. The option “Include electronic signature certificate in PDF” must be enabled when generating the report.



When both of these conditions are met:

  • The traditional section for physical signatures is hidden.
  • A new page is added to the end of the PDF containing the electronic signature certificate.


⚠️ Warning: Just like the unilateral locking information and signature section, this behavior is also affected by the use of the flag “Information about who and when approved the locking”, which is mandatory for using the locking functionalities in R01. More Activate this option in: Admin > Calculation Rules > rule editing > Section: payslip/points report.
