How to set up a virtual fence to restrict time and attendance tracking at the workplace

A virtual fence allows you to limit time and attendance registration to a specific radius around the workplace. This setting ensures greater control and accuracy of records, preventing clockings made outside the defined area.


If the virtual fence is active and the employee attempts to clock in outside the work address linked to their registration, the system will block the clocking in and display a notification informing them that they are outside the permitted area.


This process follows the guidelines established by current legislation, including Ordinance No. 671 of the Ministry of Labor.

See below how to fully configure the virtual fence for registration in the BatePonto app.


Step 1: Add the address to the workplace


  1. In the navigation menu of the Management website, click on Registrations, then select the Workplaces.


  1. Select and edit the desired location, or create a new workplace. In the location registration, fill in the address in the field above the map, as indicated in the image below.



  1. When you type the address, a drop-down list will appear with suggestions based on the database. Select the correct address so that the additional fields are automatically filled in. Finally, enter the house number to complete the registration.



💡 Tip: If the PIN on the map isn't positioned exactly over the work location, click and drag it to the correct location for greater accuracy.


Step 2: Adjust the employee's registration


  1. In the navigation menu of the Gestão website, click on Registrations, and select the Employees.


  1. Open the employee's record, in the "Time and Attendance and Benefits settings" section.



  1. Disable optionclock in at any workplaceso that this employee's time entries are limited to the workplace registered in their profile.



  1. Enable the "show feedback in the app" option so that the employee can see the reason for the block in the app.



  1. [Optional] module Risk Reduction, you can define when the virtual fence will be mandatory.
  • For example: require validation only on Entry and Exit records, allowing Pause and Return from Pause to be performed from any location. To do this, simply select the times when the virtual fence should be applied.



Step 3: Configure the collector profile in the BatePonto App


  1. In the menu, click on Management, then select the Collectors.



  1. On the new screen, switch to the collector profile, then change the category to "registration application" (which refers to the BatePonto App settings). Next, select the desired collector profile, and click the pencil icon to edit the profile.



⚠️ Warning: If you only have one profile, it will be used by all registered BatePonto applications. If you need to apply restrictions only to some applications, create a new collector profile by clicking on " create new collector profile" and configure it as explained below.


  1. In the "location options" section, select the "enable location" option.




💡 Tip: We recommend also enabling the "detect manipulation" option so that the app can identify possible changes to the device's geographic coordinates, such as the use of VPN, fake GPS, or other location simulation features.


  1. Define the distance radius for clocking in and out from the workplace address.


  1. In the "governance options" section, disable the "allow marking away from the workplace" option.



Step 4: Adjust the existing collectors you want to apply the virtual fence to


  1. In the menu, click on Management, then select the Collectors.


  1. This time, in "collector management", stay in the collectors, and change the category to registration application (referring to the BatePonto App settings).



  1. In the list of collectors, select the desired collector and click edit.



  1. Change the collector profile to the one that has the restriction configured.



  1. If you have edited the existing profile, just confirm that the collector is correctly linked to that profile.


⚠️ Warning:
  • The location restriction applies only to records made through the BatePonto. Records made through BatePonto Web (computer) or the Pontotel Gestão app do not have this restriction.
  • Geolocation validation relies on the employee's device's GPS. Pontotel is not a GPS and does not activate GPS on its own. It only reads the coordinates that the device itself provides at the time of registration. If location is disabled, permission is denied, or the location is inaccurate, the virtual fence cannot be validated, and the point may be blocked or marked outside the area. Instruct employees to keep their GPS turned on permission Location to the app (Android/iOS: Settings → Applications → Pontotel → Location → “Allow when using the app” or “Always”).


With this configuration, you ensure that time and attendance records are only made within the defined location, providing greater control and security in the timekeeping process.
