How to link a schedule to an employee
Linking a schedule to an employee is essential to ensure that the system correctly directs work days, days off, and shifts according to the defined rules. This configuration impacts time tracking calculations, time bank management, and influences reports.
This linking can be done during the creation or editing of the company registration, but it is important that the schedule has already been created .
In this article, you will see, step by step, how to perform this linking on the Pontotel Gestão website , as well as important observations to ensure everything works correctly.
Step-by-step guide to linking a schedule to an employee.
- In the top menu of the Gestão website, click on "registrations" . Then click on "employee" .

- Start a new registration or edit an existing one.
Click on "create new employee" or select an employee from the list and click on "edit" .
- Select the desired scale.
- Click on the "Scale" , and then select the " Scale" subsection.
- Choose the schedule that will be assigned to the employee.

- Define the start date for applying the scale.
- Select the "Calendar" if you haven't been automatically redirected to it.
- Set the start date for the employee's schedule in the "schedule start date" . Once you set the date, the chosen schedule will appear below, and below it there will be a calendar for viewing, starting from the defined start date. The next step is to select, in the schedule, the workday that is above the first day on the calendar.
Practical example:
- 5x2 schedule to an employee who will start their activities on 10/01/2024 (Tuesday).
- By default, the system automatically selects the first shift of the schedule, which can generate an error in the allocation of shifts on the calendar, because the system assumes that the schedule starts on a Monday.
- Since in this case the start date is a Tuesday, we need to manually adjust the schedule so that the dates are correctly aligned.
- Therefore, we must select the 2nd shift on the schedule, which corresponds to the correct position within the cycle and aligns with the employee's start date.
- Check that the days off are falling on the correct days.

- Save the changes.
After confirming that everything is correct, click "create employee" or "save".
- Carefully check the start date of the schedule
- Remember: if the employee was already linked to another schedule, the historical records of that previous schedule will remain active until the date of the change.
- If possible, inform the employee or HR so that the employee knows which schedule will be in effect, avoiding surprises or confusion.
