Understand the difference between deleting and terminating an employee.

In 's people management system , there are two actions that remove an employee from the "active" list: Deactivate and Delete .

Although they may seem similar, the outcome is drastically different. Understanding which action to take is vital for the transparency and legal security of your time and attendance history.



⚠️ Warning: Deleting will erase all history.


Delete option (the trash can icon in the employee's record) is a permanent and irreversible . This action cannot be undone and compromises all your audit and legal history.

When you delete an employee, you erase all data linked to them, including their timesheets. Therefore, the system itself doesn't allow you to delete an employee's record if they have clocked in and out, and recommends that you terminate the employee.


The correct process for layoffs: "Terminate"


For all termination cases (end of contract, resignation, etc.), the correct action is Termination .

Termination only "deactivates" the employee from a specific date, but preserves 100% of their history on the platform. This is essential for future reference, audits, and labor lawsuits.


When (and how) to use the "Delete" function


You should only use the "Delete" function in one scenario: if you created an employee record by mistake (e.g., a duplicate record) and this employee has never had a time clock entry on the platform.

If you are absolutely certain that you need to permanently delete a registration with no history , follow these steps:


  1. In the main menu, go to Registrations and click on Employees .


  1. In the list, locate the employee record you wish to delete.


  1. Click on it and, in the menu that opens, click on the trash can (Delete).


  1. The system will ask for confirmation. Confirm the deletion.


To ensure the evolution of your management , treat exclusion as an exception (only for registration errors) and termination as the standard rule for ending contracts.
