Hierarchy of Calculation Rules

For your time and attendance platform to function at maximum efficiency, it's essential to understand how the system processes calculation rules when they are present at different registration levels.

In this article, you will learn what a calculation rule is, where to configure it, and the priority order that the system adopts to ensure the smooth operation of your HR processes.

🧠 What is a Calculation Rule?

The Calculation Rule is the "brain" of the work schedule settings. It's where we define essential parameters, such as:

  • Overtime percentages;
  • Tolerances for delays and early arrivals;
  • Time interval and night schedule settings;
  • Night shift allowance and rest day pay;
  • Customization of the point mirror.

This rule ensures that employee records are processed in accordance with legislation and your company's internal policies, bringing security and simplicity to payroll processing.

📍 Where do I set up the rules?

At Pontotel , you have the flexibility to customize calculations at various levels.

1. Employee Registration (Required)

This is the default location and the only required for a calculation rule. Every employee needs to have a rule directly linked to their profile so that the system knows how to process their hours.

2. Other registration levels

You can also add rules to other records to address exceptions or group policies. These fields are usually located in the Advanced Settings of each menu.

  • Workplace: Useful for companies with units in different cities (due to municipal holidays or different union rules).
  • Scales: When a specific work group has its own rules.
  • Work schedules: To apply settings that vary according to the hours worked.
  • Holidays: To define specific behaviors on commemorative dates.

🏆 The Hierarchy: Who wins the "contest"?

When you add a calculation rule in more than one place, the system needs to know which one should prevail. To do this, Pontotel follows a priority hierarchy.

The rule configured at the highest level in the list below always overrides the rules at lower levels. Check the order, from strongest to least basic:

  1. Holiday (Prevails over all): If there is a rule linked to a specific holiday, it will be applied ignoring any other settings for that day.
  2. Work schedule: If the day is not a holiday, the system checks if the work schedule the employee is following has its own rules.
  3. Schedule: If the work schedule has no set rules, the system will use the configuration defined in the employee's schedule.
  4. Location: If there are no rules at the levels above, the system will apply the rule linked to the employee's Workplace.
  5. Employee: This is the base rule. It will only be applied if no other rules are configured at the Holiday, Work Schedule, Shift, or Location levels.

💡 Practical Example

Imagine that an employee has the "Default Rule" in their profile (level 5), but they will be working on a holiday that has a rule configured to pay 100% overtime (level 1).

On that day, the system will ignore the "Default Rule" and apply the Holiday , ensuring that the calculation is done automatically and correctly.

💡 Tips:
  • Whenever you perform maintenance or rule verification, check the "Advanced Settings" of the registration. Keeping the hierarchy organized is the secret to effortless management and complete confidence in the data!
  • Keep your management simple : if your operation doesn't require complex exceptions, use the calculation rule only in the employee . This brings more clarity to your daily work and ensures that the calculation of working hours is always consistent and easy to verify.
