How to check and correct timesheets centrally (Check Sheets)

Maintaining accurate time and attendance records is essential to ensure the accuracy of payroll calculations and avoid inconsistencies. While adjustments can be made directly to each employee's timesheet, the "verify timesheets" feature stands out for allowing a broader, faster, and more centralized analysis.


The "check timesheets" feature in the Pontotel system allows for centralized review and adjustment of pending items, duplicates, entries, and events on the timesheets of multiple employees simultaneously. This tool optimizes management and ensures the accuracy of records, preventing inconsistencies and errors in payroll.


Step-by-step guide to using the Check Sheets tool.


  1. Access the feature


  • In the main menu, click on sheet and select check sheets .



  1. Use the search filters.


  • Filter by location , employees , or groups .
  • Select the locations, employees, or groups you wish to view.
  • Define the period you wish to analyze in the start and end fields.
  • After configuring the filters, click OK to load the data.

The tool is organized into four steps, which can be accessed by clicking on the side arrows or directly on the corresponding tab.



Step 1: Days to correct


  • This step displays the inconsistent days that need correction.
  • status column , warnings will be displayed indicating pending issues or errors that need to be corrected. Hover your mouse over the warning to understand the reason for the inconsistency, which may include:
  • Missing pairs of points;
  • The order of the points is wrong (out of chronological order);
  • Excessive markings;
  • Other irregularities that impact payroll calculation.
  • Make the corrections directly on the screen. Once the day is adjusted, the warning will be removed, and the corrected record will no longer be displayed in the "days to correct" category.



⚠️ Attention: For the day to be calculated correctly, each marking (point) must have its corresponding pair: the entry pair is the exit pause pair is the return pair . Therefore, when there is an entry point, there must be an exit point, and if there is a pause point, there must be a return point; otherwise, the system will not be able to calculate the day, and it will be considered inconsistent.


Step 3: Notes


  • This step allows you to review the grades entered on the sheet during the selected period.
  • If no grades are recorded within the filtered period, the system will indicate that there are no days to check.

Step 3: Notes


  • It allows you to check specific appointments using detailed filters.
  • In "select rubric", choose the type of note you want to view.
  • Configure the conditions in "select event", defining whether the value must be greater than, less than, or equal to what will be entered in the "hours" and "minutes" fields.
  • Enter the hours and minutes as a reference and click view to apply the filter. The system will display the results that meet the defined criteria.



Stage 4: Events


  • In this stage, the events on the leaves are presented in four categories:
  • Absences
  • Worked days off
  • Exemptions
  • Suspensions
  • To switch between events, click on select event , choose the desired category and click on view .



💡Tip: Check Sheets feature is essential to identify and correct any discrepancies, ensuring accurate time and attendance records. The payroll will only be locked and the work hours calculated correctly if there are no inconsistencies.
