User Report: How to generate and interpret the spreadsheet

Managing user permissions and access is a vital task for HR. To facilitate this audit, Pontotel allows the generation of a complete spreadsheet with all the data of registered users, their access levels, and security status.

In this article, you will learn:

  • How to generate the user spreadsheet;
  • What does each column in the report mean?.

How to generate the report

To extract the updated report, follow this path:

  1. In the sidebar menu, go to Admin. Then, click on the Users.

  1. In the upper right corner of the screen, click the "User Spreadsheet" button.

  1. The system will generate an Excel (.xlsx) file containing all users in the database.

Understanding the columns in the spreadsheet

When you open the file, you will find several columns detailing the settings for each account. Here's what each one means:

Column

Full name of the registered user.

E-MAIL

Email used for login and receiving communications.

PERMISSION

Define the access level (e.g., HR, Manager, Employee).

Indicates whether the user has access granted (Yes) or blocked (No).

WORKPLACES

Which units or locations is this user allowed to view?.

💡 Tips:
  • Access Audit: Use this spreadsheet periodically to check if former employees are still listed as "Active" and deactivate them in the user menu if necessary.
  • Security (MFA): Keep an eye on the MFA column. We recommend that users with HR and Administrator always have this option enabled to ensure the protection of company data. To enable it, access the advanced settings during user editing.

The user spreadsheet is an essential tool for maintaining the security of your account and the organization of your HR department. With it, you have a complete "x-ray" of all accesses in one place, ensuring that permissions are always aligned with your company's guidelines and facilitating quick audits.
