Access through Leadership: How this Hierarchy Works
feature Leadership Access allows managers to view and manage information about their direct and indirect reports within the platform. With it, it's possible to create independent hierarchies managed by different management levels, without depending on location or group configurations.
In this article, you will understand how to configure the hierarchy and how it impacts access to system information.
Types of permissions in the system
Before we begin, it's important to understand how permissions work in Pontotel:
- Employee: accesses only their own data.
- Manager (Supervisor): accesses data from employees or teams under their responsibility.
- HR: accesses all company data, without limitation.
How to configure the hierarchy
The hierarchy setup is done in two stages: first in the manager user and then in the profiles of their subordinates.
1. Configure the manager user
The managing user needs to have their access type set to "directed personnel only" for the hierarchy to function correctly.
- Go to Admin > Users.

- Locate the user you want to configure and click edit (pencil icon), or create a new user.
- field "View by", select the "only led".
- Save the changes.

With this, the user gains access to their hierarchy's data. The next step is to configure who their subordinates are.
2. Set up the followers
The subordinates are configured using the "Direct Supervisor", available in both the employee and user registration forms. Both methods function the same way: when editing in one form, the information is automatically replicated in the other.
Through the employee registry:
- Go to Registrations > Employees.
- Locate the employee and click Edit.
- field "Direct supervisor of this employee" and select the responsible manager.
- Save the changes.

Through user registration:
- Go to Admin > Users.
- Locate the user and click Edit.
- field "Direct supervisor of this user" and select the responsible manager.
- Save the changes.

Direct and indirect followers
The hierarchy can have multiple levels. A manager may have other managers below him, forming a chain of leadership.
See the example below: a Director manages two Managers (direct reports). Each Manager has Coordinators, Supervisors, and Employees reporting to them (indirect reports of the Director). In this scenario:
- The Director views data from the entire hierarchy.
- Manager 1 can only see data from their own hierarchy.
- Manager 2 can only see data from their own hierarchy.

How to view and track the hierarchy
Reports
After setting up the hierarchy, you can view the leadership links in two ways:
- Through the User Spreadsheet, available on the Admin > Users (button "User Spreadsheet").

- The R13 report, accessed in Management > Reports and Records, contains employee registration information, including each employee's direct supervisor. Simply filter by the supervisor column to view the entire hierarchy.

Monitoring via the Management App
app Pontotel Gestão, the "My Team" displays a dashboard with the team's status in real time: who is working, late, absent, or has not yet started their workday.
With the hierarchy configured, two new filters become available:
- Led by: filters employees of a specific lead user.
- Hierarchy: allows you to choose between viewing only direct reports or the entire hierarchy (including indirect reports).

Notifications
Employee event notifications also follow the configured hierarchy. When creating a notification rule, it's possible to define whether the manager will receive alerts only from their direct reports or from the entire hierarchy, including indirect reports.
