How to register a holiday
Maintaining accurate holiday records in the system is essential to ensure the accuracy of time and attendance calculations and payroll. Proper registration ensures that employees' days off or work days are properly considered.
Step-by-step guide to registering a holiday:
- Access the holiday menu.
In the main menu, click on registrations and select the holidays .

- Create a new holiday.
On the holidays screen, click the create new holiday .
- Fill in the fields.

- Name: Enter the name of the holiday, such as "Carnival" or "Christmas".
- Date: Enter or select the holiday date from the calendar.
- Region (Country, State, and Municipality): For national , fill in only the "country" field. As you begin typing, suggestions will appear below the field. Be sure to select one of the displayed options so that the registration is saved correctly. For state municipal holidays, fill in the country, the state abbreviation ( UF), and the municipality.

- Choose your payment method.
Choose how the holiday will be paid if the employee works on that day:
- Normal: If the employee should receive the holiday as a regular workday, select this option.
- Extra : If the time worked on the holiday is paid as regular overtime, choose this option.
- Extraordinary: Generally used for overtime hours with a 100% surcharge. This nomenclature is pre-configured in your calculation rule and is the standard used in the Pontotel system.
- Special: If your calculation rule has configured a third type of overtime, indicated as "special", select this option to apply the percentage defined for this case.
Make sure your selection aligns with your calculation rule settings to ensure correct payment.
- Configure the additional options.
- Calculation rule: If instructed by a Pontotel Analyst to meet a specific need, or if a specific calculation rule for holidays has been previously created, link the rule to the work schedule. Otherwise, leave the field blank, and the system will automatically use the calculation rule defined in the employee's record.
- Fixed holiday : Check this option if the holiday occurs annually on the same date, such as Christmas.
- Holiday with time off: Check if the holiday will be considered a day off. If not checked and the employee does not work, an absence will be recorded.
- Save the registration
Click "Add" to complete the holiday registration in the system. Once created, the holiday will be automatically applied to all unlocked timesheets of employees assigned to or working in locations configured with the same holiday region.
