How to register a schedule

Creating and configuring schedules correctly is essential for organizing work hours and controlling the work and rest periods of each employee.

In this article, we will guide you on how to register a new schedule on the Pontotel platform, helping you maintain accurate and personalized management to meet different work schedules.


Step-by-step instructions for registering a schedule:


  1. Access the screen


In the top menu of the Management website, click on registrations and then select schedules .



  1. Start a new registration


To add a new scale, click on add new.



  1. Fill in the required fields.



  • Scale name: Give the scale a clear and identifiable name to facilitate its reference and organization within the system.
  • Code: Enter a code to identify and organize work schedules in the system. This is especially important for clients who integrate with payroll systems, as the code must be the same as that used in those systems to ensure correct synchronization and data consistency.
  • Monthly workload: Enter the expected number of hours and minutes for this schedule. This information is for reference only in the schedule registration and does not affect calculations. You can also leave this field blank.
  • Schedule: Enter the work schedule, that is, the cycle of work and rest days. The first field corresponds to the number of days worked, while the second field refers to the number of days off.


Advanced settings:

By default, you can leave these fields blank, but there are options that allow for more specific adjustments to the calculation and control of work hours.


  • Calculation rule: Link a rule to the location if instructed by a Pontotel analyst for a specific need. If no rule is selected, calculations will be based on the calculation rule linked to the employee's record.
  • Scale type: Optional field, where a standardized scale type can be selected for informational purposes only.
  • Add on-call shifts: Enable this option to add on-call shifts in addition to the standard shift on any given day of the schedule.



  1. Check the schedule


Below "advanced settings", you will see a preview of the scale based on the entered scheme.


The example below shows a 5x2 .



  1. Change the shift schedule.


Now, it's time to assign the corresponding work schedule for each day of the shift. It's important to note that the first day of the shift always corresponds to Monday .


To adjust work schedules with planned work hours:

  • Select one or more working days from the schedule;
  • Check that the "work" section is selected;
  • The list of registered work schedules will be displayed below. Select the schedule you wish to apply to the selected day(s).



To adjust work schedules without scheduled work :

  • Select the day(s) you expect to have no work;
  • Make sure the "no work" section is selected;
  • The list of registered non-working days will be displayed below. Select the day you wish to apply to the selected day(s).



💡Tip: You can select more than one day to apply the same routine to all of them simultaneously, saving time and ensuring consistency.


  1. Complete the registration.


After filling in all the fields and configuring the schedule, click add to complete the registration.


Examples of scales:


Below, we list some examples of common schedules to help you set up the one that best suits your employees' routines.


6x1 scale
  • Description: Schedule in which the employee works Monday to Friday, from 8:00 AM to 6:00 PM, Saturday from 8:00 AM to 12:00 PM, and has Sunday off.
  • Scheme: 6x1



12x36 scale
  • Description: The employee works one day, from 8:00 AM to 8:00 PM, and has the following day off.
  • Scheme: 1x1



Schedule with alternating Saturdays
  • Description: In the first week, the employee works Monday to Friday, from 8:00 AM to 5:00 PM, Saturday from 8:00 AM to 12:00 PM, and has Sunday off. In the second week, they work Monday to Friday, from 8:00 AM to 6:00 PM, and have Saturday and Sunday off. From the third week onwards, the schedule is repeated.
  • Layout: 11x3



Monthly schedule with varying days off.
  • Description: The employee works from 8:00 AM to 5:00 PM, with varying days off throughout the month. In the first week, the day off is Thursday; in the second week, Friday; in the third week, Saturday; and in the fourth week, Sunday. From the fifth week onwards, the schedule returns to the initial pattern.
  • Scheme: 24x4



These are just a few examples of schedules, but you can set up a custom schedule to suit your needs. Remember to adjust the schedule, setting the number of work days in relation to the number of days off to ensure the schedule works correctly.
