How to register a user for collective time tracking.

Collective time tracking is a practical solution for companies that use shared devices in physical environments, such as offices or factories. To do this, you need to log in to the platform with a specific user account that has permission to register data collectors . In this article, you will learn how to create this user account.

Step-by-step guide to creating a group user:

  1. In the top menu of the Management website, click on admin . Then select users .

  1. To add a new user, click on create new user .

  1.  Fill in the fields:
  • Username: Type "Collector Registration" or some term that identifies you as a collective user.
  • Email: Please provide the email address that will be used to log in to the platform. This can be a real or fictitious email address if direct communication is not necessary. Our suggested email address is: colecionadores@nomedaempresa.com.br .
  • System access password: Register a password of at least 8 characters. This password will be used to access the system and can be changed later.
  • General permission: Defines the user's access level, controlling which modules they can view. Select the " Collector Registration " option.
  • Personal permission : Allows you to assign specific access rules to the user, if there is an employee linked to the user. In this case, leave blank.
  • Phone: Please provide the phone number of the person who will use this account. This information is essential when the user is the point of contact for Pontotel support. Since this is a shared account that will be used to register points, there is no need to fill in this field.
  • CPF: User's CPF number, used as identification data. Leave blank when creating a group user.
  • Code: Assign a unique code to organize and identify the user in the system. This field can facilitate the consultation and management of records.
  • User's Leader : Field to link a leader responsible for the user, if applicable.

Example of correctly filling in the fields.

  1. Configure advanced options (optional)
  • Generate random password and send by email : When selected, automatically generates a password and sends it to the user's registered email address.
  • Require password change on first access : Forces the user to reset their password as soon as they access the platform for the first time.
  • Enable two-factor authentication (MFA) : An additional security feature that requires a second authentication factor when logging in (such as a code sent via email or an authenticator app).
  • Consider this user as a point of contact for support: by enabling this option, the user becomes the company's main contact for Pontotel support. This means that their data, such as phone number and email, can be used in open support tickets, facilitating communication and speeding up service when support is needed. Because this is a shared user, we recommend not enabling this option.

  1. Click the save to finalize the creation or modification.

⚠️ Warning: If the "collector registration" permission is not available for selection, it means it has not yet been created. See the article about permissions and create a new permission, enabling only the following field:
